Data we process

When you enquire, we process your name, email, optional telephone details, chosen consultation, preferred date and message. If an engagement follows, we may process employment contracts, working-time records, correspondence, invoices and notes necessary for the agreed review. Please do not send sensitive records through the initial website form.

The form in this static demonstration posts to a local mock response and is not stored by the website. Direct emails and later engagement records are handled through our business systems.

Purposes and legal bases

We use enquiry data to take steps at your request before a contract and to respond to questions (Article 6(1)(b) GDPR). Engagement records support contract performance. Invoices and accounting material are kept to meet legal obligations (Article 6(1)(c)). Limited security logs and conflict records may be processed for legitimate interests in protecting the service and managing professional risk (Article 6(1)(f)). Optional analytics, if introduced, require consent.

Recipients and transfers

Access is limited to authorised Codeframebase personnel and contracted providers for email, secure file transfer, hosting and accounting. They receive only the data needed for their function and are subject to appropriate obligations. We prefer processing within the European Economic Area. If a provider transfers data outside it, we use an adequacy decision or safeguards such as the European Commission’s Standard Contractual Clauses and assess supplementary measures where required.

Retention

Unconverted enquiries are normally deleted after six months. Engagement files are ordinarily retained for six years after the end of the calendar year in which work concludes, unless a longer legal retention period, unresolved claim or shorter necessity applies. Accounting records are retained for applicable German statutory periods. Cookie-choice storage remains until cleared by the user or browser.

Your rights

Subject to legal conditions, you may request access, correction, deletion, restriction, portability, or objection to processing based on legitimate interests. You may withdraw consent without affecting earlier lawful processing. Contact info@codeframebase.digital. We may need to verify identity and may retain data where law or legal claims require it.

You may complain to a competent supervisory authority. For our Berlin establishment, this is the Berliner Beauftragte für Datenschutz und Informationsfreiheit.

Security and required information

We use access controls, minimisation and appropriate transfer methods. No internet transmission is risk-free. Fields marked as required are needed to assess and answer an enquiry; without them, we may be unable to respond.

External sites have their own notices. We update this page when practices or law materially change and show the new effective date above. Details of browser storage appear in our cookie notice.
